FileSender user guide

Accessing and using Filesender requires a connection to an Identity Provider (IdPs).

From the FileSender home page, go to the “connection” tab at the top right of the service home page.

You will then be redirected to the login page of your Identity Provider. Select your Identity Provider and enter your username and password.

NB: If you do not see your institution in the list of Identity Providers (IdPs), or if the login with your username within your institution fails, please contact your local IT department.

From the home page, click on “Upload Files”.

  • Drag and drop or select your files from your computer
  • Fill in the expiry date of the transfer (15 days by default and up to 30 days maximum)
  • Check that the box “ Get a link “ is checked (the box is checked by default) and click on “send “.

  • Copy/paste the download link to be able to transmit it. Then close the window “Success”.

  • You will then be redirected to the details and summary of your transfer.

2.1.1 Add Recipients

  • Uncheck the box ” Get a link instead of sending to recipients “

  • Enter the email addresses of the recipients (separated by comma or semicolon)
  • Add a subject and a message if you wish
  • Select the expiry date of your transfer (15 days by default and up to 30 days maximum)
  • Click on “Send” to validate your transfer
  • Back to your transfer details and summary page

2.1.2 Encrypting Your Files

End-to-end encryption provides enhanced security for the data you wish to transfer. No one, not even FileSender administrators, will be able to open your files except the recipients to whom you have given the password.

  • Check the box “File Encryption”.
  • Then enter a password or generate a random password with the button “generate password”

We do not store passwords. It is up to you to communicate the password to the recipients.

  • Keep your password so that you can pass it on to recipients at a later date
  • To copy/paste your password it must be visible, click the “eye” icon.

  • Click on “Send” to validate your deposit

2.1.3 Manage your notifications

You have the possibility to manage your notifications. To enable notifications, simply select the checkbox for the desired notification.

From the home page, click on “Create an invitation”.

  • Enter the address of the recipient(s)
  • Add a subject and a message if you wish
  • Fill in the desired advanced options and settings.

  • Click on send invitation and the page will refresh automatically.
  • Find below the invitation form, the list of your invitations and the files deposited by your guests.

From the home page, click on “Manage your transfers”.

  • Access to the list of your available and closed transfers

  • From this list you can perform several actions:
This icon allows you to access the transfer details
This icon allows you to delete the transfer
This icon allows you to add a recipient to your transfer
This icon allows you to send a reminder to your recipients
This icon allows you to access the tracking of events related to a transfer
